About the Event
Please join us for a Friends of Aurora event on Wednesday, October 23, 2024.
Vendors will participate in the entire day with representatives from the Aurora Board, Federal Highway Administration (FHWA), and other organizations to exchange ideas and provide updates on technical issues, products, research needs, innovations, and changes in the road weather marketplace.
Each company will have an opportunity to introduce itself and to summarize the products offered and markets served. Additionally, vendors may choose to reserve a vendor booth (see details below) that will include tables for individual discussions or demonstrations of the company’s products and services at each break, at lunch, and during the end-of-day reception.
The cost for the each attendee is $200, which covers lunch, hors d’oeuvres at the reception, and snacks during the breaks. Vendors may register up to three attendees.
Vendors will have the option to reserve a vendor booth during registration. Note that a maximum of 15 vendor booths are available for this event on a first come, first served basis. The meeting room is estimated to accommodate 8 to 10 vendor tables, with the remaining vendor tables positioned as close to the meeting room hallway area as possible. Vendor table assignments will be prioritized by the timing of your registration.

Information for Vendors
Vendors will be at the hotel all day on Wednesday, October 23, 2024.
Vendors who reserve a booth will receive the following:
- 6 ft table and 2 chairs
- Electricity for the booth
- Complimentary Wi-Fi
Vendors may start setting up any time after 6:00 p.m. on Tuesday, October 22, 2024 and will have until 11:00 p.m. on Wednesday, October 23 to tear down the booth.
Vendors may ship supplies to the hotel at the address listed above. The shipping label must clearly list AURORA BOARD MEETING. Shipments must arrive no more than 72 hours before the event. The hotel does not have a loading dock, so if pallets are shipped they must be delivered on a truck with a lift gate and pallet jack. After the event, shipments must be shipped back within 48 hours.
